Now Hiring: Administrative Coordinator

Our Administrative Coordinator serves as a critical link between the Fibroid Institute Dallas, its prospective and current patients, and referring doctors. 

Job Purpose:

The candidate will manage and analyze patient care data to evaluate practice metrics and to provide superior service to all constituencies. The candidate will work closely with Dr. Slonim to optimize her efficiency, streamline patient throughput, and maximize practice success. The candidate will also collaborate with the nurse practitioner, administrative staff, and marketing team. This position will follow the doctor between two practice locations in Dallas and Duncanville.

  • Strong verbal and written skills
  • Ability to prioritize requests from multiple members of the medical team
  • Efficient use of Microsoft Office Suite of products, especially Excel and Word
  • Efficient use of eClinical Works
  • Understanding of the importance of maintaining confidentiality; ability to maintain confidentiality under HIPAA and clinic standards
  • IT skills a plus

Job Duties:

  • Manage a complex Excel database
  • Answer 800-900 calls per month
  • Navigate electronic health records (eClinicalWorks)
  • Schedule new patients that come in by phone, online form (in email), and fax
  • Manage voicemails
  • Manage emails (info@fibroidfree.com)
  • Upload patient forms that have been signed online
  • Complete FMLA/Short term disability paperwork
  • Set up new accounts
  • Inform referring offices of the status of their patient(s)
  • Send referrals
  • Back-up Front Desk staff (check in/out, payments, schedule follow-ups)
  • Manage incoming faxes
  • Generate procedure day schedule list
  • Generate regular monthly reports (appointment volumes, referrals, inventory)
  • Produce additional reports as needed
  • Operate as HR liaison with corporate office
  • Onboard new employees
  • Coordinate OSHA compliance requirements
  • Manage office supplies inventory
  • Manage medical procedure inventory
  • Serve as IT company account liaison
  • Maintain Dr. Slonim’s calendar
  • Maintain Dr. Slonim’s iCloud procedure contacts
  • Compose Dr. Slonim’s correspondence as needed
